Wildmoka offers a powerful and flexible User & Profile Management system, allowing administrators to control access, features, and content visibility across the platform with precision.

The system is built around two concepts:

  • Users: individual accounts for platform access.

  • Profiles: configurable sets of permissions and access rules that can be assigned to one or more users.

A single user can be assigned to multiple profiles, enabling highly customizable workflows across teams and roles.


Accessing the User Management Panel

To manage users or profiles:

  1. Click the User icon () on the left-hand navigation bar.

  2. You’ll see two tabs:

    • User Management

    • Profile Management


User Management

In the User Management tab, you can:

  • View all users in your account

  • Create new users by filling in:

    • First name

    • Last name

    • Email (used as login)

    • Password (or reset link)

    • Assigned profile(s)

Users inherit all the permissions and access rights configured in the profiles they are assigned to.

 

Password Management

New users are required to set their own password within 24 hours of account creation.

If a user forgets their password or needs to reset it:

  • They can initiate a reset directly from the login page.

  • Alternatively, an administrator can trigger the reset from the user's profile in the User Management section.

Enhanced Security Measures

To improve account security, users may occasionally be asked to verify their identity using a one-time password (OTP) sent to their registered email.

This additional verification step is triggered when logging in from potentially insecure or untrusted IP addresses, such as public Wi-Fi networks or frequently flagged locations.


Profile Management

Profiles are the heart of Wildmoka's access control system. When editing or creating a profile, you’ll find five configuration tabs:


1. Permissions

Define what actions users assigned to this profile can perform across the platform. Permissions are grouped into the following categories:

  • User Management: Create, view, or edit other users and profiles.

  • Content Management: Clip, upload, stream, or assign files.

  • Template Management: Manage decorators and publish templates.

  • Destination Management: Access and manage publishing destinations.

  • Event Management: Create and manage scheduled events.

  • Analytics Management: Access platform statistics and reporting.

These checkboxes allow for granular enable/disable control of every major platform function.


2. Content Access

This section defines which content and media libraries a profile has access to.

You can:

  • Allow access to all content and streams.

  • Restrict visibility to specific clips, streams, or uploads.

  • Customize which video sources (e.g., file libraries) are available for clipping or viewing.

This enables strict control over media ownership and collaboration.


3. Destinations

Here, you define:

  • Which publishing destinations users in this profile can access (e.g., YouTube, Twitter, FTP).

  • Field-level access for each destination:

    • Mark a field as mandatory or editable (e.g., title, description, categories).

    • Mark a field as AI-automated (cf LLM-Automated Metadata)

This allows teams to enforce publishing standards, maintain metadata quality, and reduce errors.


4. Source Access

This section configures access to media sources, such as:

  • Imported files

  • Streams

  • Video libraries

You can define which folders or collections are available to users with this profile.


5. Members

This final tab lists all users currently assigned to the profile, making it easy to audit and manage team structures.


Pro Tips

  • Assign users to multiple profiles for hybrid roles (e.g., moderator + analyst).

  • Use field-level control to enforce branding or metadata requirements.

  • Maintain a clean structure by separating profiles by department or function (e.g., “Editors”, “Publishers”, “Social Media”).
